How Archives works

  1. Bring it in

    Paper, files and email, in one place

    Scan your paper yourself or hand it to us. Drop in PDFs, photos and Office files, or let it collect attachments from a mailbox. The text on every scanned page is read, so a photographed letter is as searchable as a typed one.

  2. Sort

    Filed as it arrives

    Each document arrives with its tags, its sender and its type already suggested, learned from how you filed the ones before. Add your own fields when a reference number or an amount matters.

  3. Host

    On your server, or on ours

    Install the archive on a server in your own building, or have us host it for you. The archive, the search and the permissions are identical either way.

Paper by the box, scanned for you

Hand us your boxes and our scanners take up to 50,000 pages a day. Every page comes back into your archive with its text read, filed like the rest. Scanning is priced separately.

Prefer to keep your paper in-house? Scan it yourself and send the files straight in.

Pilot

Start with a pilot on your own documents

We scope it with you: a batch of your documents, the searches your team needs to run, and what counts as success. The AI is part of it, so you see what it does on your own paper.

After the pilot, the price depends on your volume, your users, your backups and how much AI you use beyond the basic allowance. Installation, digitising your paper, and support and training are priced separately.

What stays in your archive

    Every file is kept as it arrived, next to a PDF/A copy made for long-term storage.

  • Every version under one entry

    Replace a file and the earlier versions stay with it, under the same details.

  • Who can see what

    Access set per user, per group and per document.

  • Search that shows where it looked

    Results ranked by relevance, with the matching passage highlighted.

No. It runs on a Linux server you own, or we host and run it for you on a separate setup of your own, never shared with another organisation. You choose during the pilot, and the archive works the same either way.
